Notarized copy

This procedure is used to confirm the authenticity and validity of documents and is often required in legal or administrative situations. The procedure can only be carried out based on the original document submitted to the notary.

What are the documents for which a legalized copy can be issued?

• Civil status documents: birth certificate, marriage certificate, divorce certificate, death certificate, etc.
• Education documents: baccalaureate diploma, bachelor's degree, master's degree, transcript, etc.
• Notary documents: sales-purchase contracts, donation contracts, certificates, etc.
• Documents under private signature: employment contracts, loan agreements, etc.
• Documents drawn up in other foreign languages ​​- accompanied by an certified translation.

Apostille on the original documents

The process of applying the apostille on the original documents is an important aspect in the authentication and recognition of official documents in the international level. It is a crucial step in facilitating the exchange of information and documents between countries, eliminating the need for additional authentication processes.

What is Apostille applied on original documents?

Apostille is an authentication of the document issued by a public authority such as a judicial, notary or government authority. This procedure simplifies the recognition of documents in member countries of the Hague Apostille Convention. It confirms the authenticity of the signature, the quality of the issuer and the validity of the document in an international context.

What are the documents that can be apostilled?

The apostille is required when the documents are to be used abroad and the country of destination is part of the Hague Convention. Examples of documents that require an apostille include:

• Civil status documents such as birth, marriage and death certificates.
• Legal documents, such as powers of attorney and court orders.
• Diplomas and academic certificates for study abroad.
• Trade documents such as certificates of origin or export invoices.

Apostille on translated documents

The apostille applied to translated documents is different from the apostille applied to original documents. These are applied by different institutions in most cases and authenticate the original document or the notary legalization of the translation.

The apostille helps in the recognition of documents between member countries of the Hague Convention without the need for additional authentication processes.

What documents can have the apostille on translations?

The translation apostille is issued for documents issued in Romania that have been translated and legalized by a Notary Public and are to be used in another country that is a signatory to the Hague Convention.

These documents can be both documents issued by state institutions and documents under private signature, but for which the translation and notary legalization was previously done.

Note: Apostille on translation is applied only by the Chamber of Notaries in whose jurisdiction the notary public who made the notarial deed to be apostilled/superlegalized operates. Thus, if a legalized translation was made in another county - the apostille/spuralegalization of the translation is applied only to the Chamber of Notaries in the respective county.

Superlegalization on translated documents

Superlegalization is required when the translated document is to be used in a country that is not a signatory to the Hague Convention. 

This procedure is carried out in the same way as in the case of the apostille applied on the translation. Thus, the original document issued in Romania must be previously translated and legalized by a Notary Public.

Visa from the Ministry of Foreign Affairs (MAE)

The Visa applied by the Ministry of Foreign Affairs or MAE Visa is a stamp issued by the Ministry of Foreign Affairs of Romania. This is essential for Romanian citizens who want to travel abroad for various purposes.

When is MAE visa required?

After and/or before the translation, legalization and superlegalization of the document, depending on the requirements of the institution in the country where the document will be submitted, it will need a visa from the Ministry of Foreign Affairs in order to be recognized in the country where the document is to be used.

The visa applied by the MAE can be applied to both the original document and the previously legalized and superlegalized translation.

This visa can be applied both to documents issued in Romania and to documents issued in other countries that are not signatories to the Hague Convention.

Embassy visa

Obtaining a visa from the embassy can be a complicated and unpleasant process. Whether you want to travel for tourism, business or study abroad porposes, obtaining the necessary visa can involve a series of documents and formalities.

Some countries require that the original documents, as well as their translations, to receive a visa from the Embassy of the country where the document will be used.

In order to receive a visa from the Embassy based on translation, the document must be translated, the translation must be legalized by a notary and then it must be superlegalized at the Chamber of Notaries Public and stamped by the Ministry of Foreign Affairs. As in the case of the MFA Visa and the Embassy Visa, it can be applied both to the original document and to the translation depending on your request.
